ASCO Annual Meeting Poster Guidelines for Trials in Progress Poster Sessions
When preparing your poster for presentation at the Trials in Progress Poster Session at the ASCO Annual Meeting, please adhere to the following guidelines:
Poster Upload Deadline and Review Process:
- All abstracts selected for presentation in the Trials in Progress poster session must upload an electronic version of their poster to the Faculty and Presenter Headquarters Website by May 6, 2011 close of business.
- ASCO Staff and Leadership will review all poster content to ensure no data is included.
- Any presenter found in violation of the Trials in Progress guidelines listed below will have an opportunity to revise the poster prior to the meeting.
What is acceptable in a Trials in Progress poster?
- Scientific background/rationale for the trial. Pre-clinical and/or earlier phase clinical data that has already been publically presented or published may be included with references. TPS should not be used to present pre-clinical or earlier phase clinical data for the first time.
- Trial design and statistical methods, highlighting any novel aspects of the design
- Treatment or intervention planned
- Major eligibility criterion, highlighting unusual aspects
- Correlative studies of particular interest
- Current enrollment without providing results or endpoints
o Enrollment must have already begun or have been completed with no data analysis available
o Phase I studies may say “Cohorts 1 and 2 have been completed without DLT. Enrollment to cohort 3 began in January 2011”
o Phase II studies may report “8 of planned 32 patients have been enrolled” or “Pre-specified activity goal for the first stage of accrual was met; second stage accrual began in January 2011”
o Phase III trials may report “The DMC last reviewed the trial in December 2010 and suggested that the trial continue as planned”
- Clinical trial registry number (required)
What is not acceptable in a Trials in Progress poster?
- Any preliminary data including toxicity, response rate, PK, or correlative analyses. NOTE: posters including results or preliminary data will be returned to the author for revision prior to the meeting.
Special Note on Use of Commercial Materials
ASCO is committed to minimizing commercial bias in poster presentations and handouts. Poster presentations and handouts should not contain any of the following: commercial logos, company names, brand or proprietary drug names.
Suggestions for Formatting Your Poster
- Size Limitations: No larger than 46 inches high and 96 inches wide. This is the size of the poster board. Do NOTexceed the size of the poster board.
- Place heading in large‐sized type at the top of the board.
- List the title and all authors.
- All material should be readable from distances of three feet or more.
- You are strongly encouraged to use a type that is at least 3/8" high (22 pt. minimum).
- Use bold type to ensure legibility.
- Make all print very dark (preferably block style) on a very light (preferably white) background.
- Use letters, arrows, numbers, or other devices to show those who will be viewing your poster the preferred sequence in which your poster should be reviewed.
- Charts, drawings, and illustrations should be similar to those you would use in making power point slides.
- If photographs are used, have them processed with a matte or dull finish.
- The poster can either be made on one sheet (rollup) or in several small sections. Do NOT mount illustrations on heavy cardboard because they may be difficult to keep in position on the poster board.
- Write your presentation concisely, and keep captions brief.
- The poster should be self‐explanatory so that you are free to supplement the information and discuss particular points raised by questions during the poster session. The poster session potentially provides a more intimate forum for informal discussion than the regular presentations, but this becomes more difficult if you are obliged to devote most of your time to merely explaining your poster to a succession of visitors.
- The first author is required to be present at his/her poster 50% of the time during his/her assigned session.
- You can hang your poster approximately 1/2 an hour before the poster session begins.
- Use pushpins available onsite at each board.
- You will NOT be allowed to use glue, tape, paint, or staples on the poster boards.
- Handouts of your poster may be available for distribution if you prefer.
- Do NOT display your poster or copies of your poster in the exhibit hall.
- Remove your poster at the end of your scheduled session.
